Function Room Hire Terms & Conditions

 


     

        1. HIRE FEES

 

  • The cost of the room hire for a PRA member is £150 for a 6 hour period (e.g. Sat 7pm-1am or Fri/Sat 6pm-12am)

  • The cost of the room hire for a non PRA member is £170 for a 6 hour period (e.g. Sat 7pm-1am or Fri/Sat 6pm-12am)

  • The function room is also available for hire hourly during the week (Mon/Fri 12pm-6pm) at a rate of £20 per hour and weekends (Sat/Sun 12pm-6pm) at a rate of £25 per hour.

  • An additional administration fee of £20 is also payable for all non-member bookings.

  • There is an additional £100 damage/cleaning deposit which is refunded to the Hirer at the end of the night after a premises inspection by the Bar Manager

  • Costs stated above include extra bar staff for your function if required.

  • To reserve a date please let the PRA know by telephone or email as soon as possible.

  • Once reserved, a date must be confirmed by making a £100 deposit payment.
    This deposit is non-refundable but will be offset against the total booking fee.

  • Full payment must be made no less than 30 days prior to the function date.

  • The PRA may require the hirer to meet with a member of the PRA Committee in person prior to the hire of the function room being agreed.

  • PRA Staff or Committee members may, at their discretion, refuse hire of the function room or terminate an event if they believe that they have reasonable grounds to consider that the function room may be used by the hirer for illegal or immoral purposes, or that the hire may result in damage to the function room or with violence or aggression, intimidation or harassment committed towards PRA staff' or members.
     

        2. REGULATIONS OF HIRE
  

  • AGE RESTRICTIONS – Please note that the PRA Conditions of Hire prohibit the hire of the function room to any person under the age of 21 years.
    Unfortunately we are unable to facilitate 13th,14th,15th,16th,17th,18th,19th,20th or 21st Birthday Parties.  

  • FUNCTION ROOM CAPACITY - The PRA function room is licensed to hold up to 150 persons. The Hirer may not bring any more people into the PRA Function Room. The Hirer must inform the PRA in advance of the function of the estimated number of people expected to attend.

  • LEAVING TIME - The function must end and all attendees must vacate the premises by 12am (for a Monday to Friday function) or 1am (for a Saturday function).

  • DRINK POLICY - The clubs alcohol licence states that "...only drinks purchased on the premises may be consumed on the premises". Any attendees found to be bringing any drinks into the premises will be asked to leave, and the function may be cancelled. This may also result in the loss of the Hirer’s deposit.

  • FOOD POLICY - The Hirer is welcome to provide its own food.

  • ENTRY TO PREMISES - If closed at the start of the function the PRA will be opened by a member of the staff, unless agreed otherwise. The premises are let on the understanding that any member of staff has the right of entry at any time to the area hired.

  • DECORATION - The Hirer may decorate the function room for their event. The PRA does not permit the use of staples, pins or tape for the fixing of decorations to walls and ceilings.  Please only use the notice boards provided.
    Blu-Tack (or preferably White-Tack) is permitted and this must be removed by the Hirer immediately after the event. The PRA does not permit the use of metallic confetti due to the damage it can cause to our glass washers.

  • CANCELLATION - Any event cancellation by the Hirer MUST be made in writing and will become effective on receipt of cancellation notice.  If the Hirer wishes to cancel the booking before the date of the event and the PRA are unable to conclude a replacement the Hirer’s deposit will not be refunded.                

    3. LIABILITY AND INDEMNITY

     

  • DISCLAIMER OF LIABILITY - The PRA does not accept responsibility or liability for any damage or loss of property of things that are placed and left upon the premises whilst the club is being hired by the Hirer

  • FIRE RISKS - The Hirer should make themselves familiar with the fire procedures for the club and inform PRA staff at the time of booking of any factor which involves extra fire risks.

  • INDEMNITY - The Hirer shall indemnify the club against all claims, demands, actions or proceedings in respect of the default or injury caused by or to any person or in respect of any loss or damage suffered or sustained by any person which may occur for which the Hirer or any persons attending the function subject to these Payment Terms, Conditions and Regulations of Hire is or are responsible. For the avoidance of doubt the Hirer’s indemnity above is not limited to the £100 deposit.
